A contact form, employee file, customer list or identity copy can involve personal data in apparently routine work. Protection therefore starts with understanding the data’s journey, not simply copying a privacy policy onto a website.
Know What You Collect and Why
Draw a simple map: what data, whose data, how does it arrive, where is it kept and why is it used? Personal data includes information identifying someone directly or indirectly. When reviewing a service request form, question the necessity of each field instead of collecting extra data just in case.
Review the Legal Basis and Notice
Processing needs an appropriate legal basis, with regard to transparency and data subjects’ rights. Do not assume consent is the only basis or that any checkbox meets every requirement. The privacy notice should reflect actual data use and how rights can be exercised.
Organize Access and Retention
Identify who needs data for their work and review access when employees move or leave. Set retention schedules linked to purposes and legal requirements rather than storing all files indefinitely. Use appropriate protection and destruction procedures and document responsibility for them.
Remember External Parties
A website operator or other provider may process data for the business. Review each party’s role, contractual terms and sharing routes. If use involves transfers outside Saudi Arabia, examine the relevant requirements: using a cloud service does not automatically establish compliance.
An Initial Practical Review
- Inventory forms, files and databases.
- Match the privacy notice with actual use.
- Review access, suppliers and retention periods.
- Define routes for data subject requests and incidents.
- Document procedures and inform staff.
This is an organizational starting point. Each business needs an assessment suited to its activities and data types. SDAIA’s knowledge center provides reference guides and regulations.
